Opening a Restaurant? When to Set Up Your POS (Earlier Than You Think)

Most new owners put the POS near the bottom of the opening checklist, somewhere after the walk-in cooler and before the napkins. I get it. You're juggling permits, contractors, hiring and a menu that's still changing. But I've set up restaurants since 2012, and the openings that go smoothly have one thing in common: the owner called about the POS early.

Here's why, what has to happen before your doors open, and the timeline I recommend.

The short answer: call as soon as you have an opening date

Even if that date is months away. You don't need a finished menu or a finished building to start. Getting the account set up, the menu built and the hardware planned takes time, and none of it should be happening the week you open.

What has to happen before opening day

A POS isn't just a screen on the counter. Here's what goes into a real setup:

Your merchant account. Before you can take a single card, your business has to be approved to process payments. That means business paperwork and a bank account in the business name. It's not hard, but it isn't instant either.

Your menu build. Every item, every modifier ("no onions," "add cheese," "well done"), every price and every tax setting gets built into the system. A menu that's still changing can be built and updated as you go.

Your hardware plan. How many stations? Handhelds for servers? Kitchen printers or kitchen screens, and which items go to which station? This depends on your layout, so it's best planned while the build-out is still happening.

Internet and network. Your POS needs a solid connection. Find out early where the internet comes into the building and where your stations will sit.

Extras you want on day one. Online ordering, a website, QR code ordering, reservations and loyalty are all easier to launch with the restaurant than to add in the middle of your first busy month.

Staff training. Your team needs time on the system before real guests are waiting. Training during a soft opening is good. Training during your grand opening is not.

Test orders. Run tickets end to end: order in, ticket to the kitchen, payment, tip, close-out. This is where you catch the modifier that prints at the wrong station.

The timeline I recommend

As soon as you have a date

Call me. We talk through your concept, your layout and your opening plan, and start the account setup.

While the build-out is happening

Plan stations and kitchen routing around the actual floor plan. Start the menu build with whatever menu you have, even if it's a draft.

Before your soft opening

Hardware is installed onsite, the menu is finalized, and your staff trains on the real system. We run test orders until everything prints where it should.

Opening week

You open with a system your team already knows. I'm a phone call away if anything comes up, and Shift4 Dine's support line is open 24/7/365.

What goes wrong when the POS is last

When the POS gets left to the final week, the same problems show up:

The menu is built in a rush, and modifiers are missing or routed to the wrong station.

Staff learn the system in front of guests on opening night.

Online ordering and the website get pushed to "next month," and you lose those orders during your launch buzz.

Small issues you'd have caught in testing turn into big ones on your busiest night.

None of that is about the technology. It's about time, and calling early is how you get it.

One more reason new restaurants should start early: the bonus

New Shift4 Dine merchants can earn a $5,000 sign-on bonus, paid by Shift4. Each location that processes $60,000 in card sales during its first two full calendar months qualifies, and it's per location. The clock starts on the 1st of the month after you go live, so opening mid-month never shortens your window. If you're planning more than one location, each one can earn its own bonus.

Why Shift4 Dine for a new restaurant

Shift4 Dine runs orders, payments, kitchen routing and reporting on one system. It comes with marketing and loyalty, reservations and waitlist, QR code order and pay, and a website builder, plus onsite installation by certified technicians and a lifetime hardware warranty. You start with tools a lot of restaurants add years later.

More details are on our opening a restaurant page.

Opening soon? Call me now.

I'm Sam Scales III, founder of Merchant Tech Group and a Certified Shift4 Partner serving restaurants in all 50 states. Tell me your opening date and I'll map out what needs to happen and when. Call or text (336) 901-9761, 8 AM to 8 PM Eastern.

FAQs

When should I set up a POS for a new restaurant?

As soon as you have an opening date. Account setup, menu build, hardware planning and staff training all take time, and none of it should happen in your opening week.

Do I need a finished menu to start?

No. We can start with a draft menu and update it as it changes. What matters is getting the structure, modifiers and kitchen routing built before you open.

Can I add online ordering later?

Yes, but it's easier to launch it with the restaurant so you capture orders during your opening buzz.

Does the $5,000 bonus apply to new restaurants?

Yes. Each new location that processes $60,000 in card sales in its first two full calendar months on Shift4 Dine earns $5,000, paid by Shift4.

Restaurant Payment Processing: 6 Things to Check Before You Choose a System

Your POS and your payment processing should be one system. When they aren't, you reconcile two sets of numbers every night, and when something breaks on a Friday you call two support lines that blame each other. I've installed restaurant systems since 2012, and the owners who sleep best are the ones who chose one system and one person to call.

Your POS and your payment processing should be one system. When they aren't, you reconcile two sets of numbers every night, and when something breaks on a Friday you call two support lines that blame each other. I've installed restaurant systems since 2012, and the owners who sleep best are the ones who chose one system and one person to call.

Here are the six things I'd check before you sign with anyone, whether you're opening your first restaurant or running five locations.

1. Are the POS and payments truly one system?

Ask the question directly: "When a card runs, does it land in the same reports as the order?" With a fully integrated system, every sale, tip and refund shows up in one place, and your end-of-night close takes minutes. With a bolted-on processor, you're matching two reports and chasing the differences.

Shift4 Dine runs orders, payments, kitchen routing and reporting on one platform, so there's nothing to reconcile at close.

2. Who answers when it breaks mid-service?

This is the question most owners forget to ask, and it's the one that matters most at 7 p.m. on a Saturday. Find out whether you'll get a ticket number, a chatbot, or a person who already knows your setup.

Shift4 Dine includes 24/7/365 in-house support. On top of that, my clients have me: the same person who installed the system, built the menu and trained the staff. You don't re-explain your restaurant every time you call.

3. What's included, and what's an add-on?

Ask for the list in writing. With Shift4 Dine, marketing and loyalty, reservations and waitlist, QR code order and pay, and a website builder come with the system, along with onsite installation and a lifetime hardware warranty. Online ordering and gift cards are add-ons, and I'll walk you through exactly what each one costs on a call, so there are no surprises later.

4. Can you see every location from one login?

If you run more than one store, you need one back office: menus, sales, labor and payments for every location in one place. If you have to log into a separate portal per store, you'll spend hours a week stitching reports together. Read more on our multi-location page.

5. Who does the install, the menu build and the training?

Some providers ship you boxes and a login. Find out who builds your menu and modifiers, who sets up the hardware, and who trains your staff before go-live. Shift4 Dine installs are done onsite by certified technicians, and I stay involved from menu build through your first busy weekend.

Switching from another system? Your menu, items and modifiers can be rebuilt before go-live so you don't lose a service day. See how a switch works.

6. When should you start if you're opening a new restaurant?

Earlier than you think. Menu build, hardware, kitchen printers or screens, and staff training all take time, and you want to run test orders before opening day. If you have an opening date, call me now, even if it's months out. More on our opening a restaurant page.

A bonus worth knowing about

New Shift4 Dine merchants can earn a $5,000 sign-on bonus, per location, paid by Shift4. Each location that processes $60,000 in card sales during its first two full calendar months qualifies. The clock starts on the 1st of the month after you go live.

Talk to the person who'll install it

I'm Sam Scales III, founder of Merchant Tech Group and a Certified Shift4 Partner serving restaurants in all 50 states. Call or text me directly at (336) 901-9761. I answer my own phone, 8 AM to 8 PM Eastern.

FAQs

What is integrated restaurant payment processing?

It means your POS and card processing run on one system, so every transaction, tip and refund lands in the same reports automatically.

What should multi-location restaurants look for?

One login for every store, consolidated reporting, and one support contact who knows the whole deployment.

Is it hard to switch POS systems?

Not when the menu is rebuilt and tested before go-live. The goal is that your staff walks in on day one and the system is ready.

How do I get started?

Call or text Sam at (336) 901-9761, or visit merchanttechgroup.com.
